Job Description

Job Summary Morning Star Supportive Services is seeking a dependable, organized Bilingual Administrative Assistant to help keep our office, hiring process, and staffing operations running smoothly. This person will work closely with the Director, follow up on outstanding tasks, and help ensure that important details do not fall through the cracks. The role includes in-office work at our Somerset location. We are looking for someone punctual who takes initiative, communicates clearly, and has experience supporting a CEO, Director, or other senior leader in a growing organization.
Languages:
Professional fluency in English and Spanish required; additional languages are a plus. Duties Post job openings on Indeed using job descriptions and hiring needs provided by the Director. Review applications, screen candidates, develop interview shortlists, and coordinate interviews. Track applicants throughout the hiring and onboarding process, including scheduling required fingerprinting and urine screenings. Help coordinate staffing for open cases and promptly bring coverage gaps or urgent staffing needs to the Director's attention. Notify the Director of new intakes and follow up on the administrative steps needed to support them. Manage daily office workflow, schedules, records, and outstanding tasks. Follow up with staff and managers regarding assigned work, deadlines, and missing information; escalate unresolved issues to the Director. Create and maintain documents, trackers, templates, and procedures that improve office efficiency. Handle confidential staff and client information in accordance with agency policies and nondisclosure agreements and recommend improvements to confidentiality practices. Use Google Workspace, Excel, CRM, and other administrative systems to maintain accurate and organized information. Experience Professional fluency in both spoken and written English and Spanish. Experience in administrative support, recruiting, staffing coordination, or office operations. Experience supporting a CEO, Executive Director, or other senior leader in a growing organization. Strong follow-through, sound judgment, attention to detail, and the ability to manage multiple priorities simultaneously. Proficiency with Google Workspace and Excel, with the ability to learn and use CRM systems. Ability to work on-site in Somerset as scheduled and maintain reliable, punctual attendance. Ability to handle sensitive information with discretion and maintain confidentiality Experience in healthcare, human services, or a similar service-oriented organization is a plus.
