Job Description

Job Summary We are seeking a highly organized and detail-oriented Secretary to join our team. We are a full service landscaping company that is open year round. The ideal candidate will be responsible for providing administrative support, managing office tasks, and ensuring smooth operations within the office environment. This role requires excellent communication skills, proficiency in various software applications, and the ability to multitask effectively in a fast-paced setting. Duties Manage general office operations, including greeting visitors and handling inquiries. Operate multi-line phone systems to direct calls and provide customer support. Perform data entry and maintain accurate filing systems for easy access to information. Assist with calendar management, scheduling appointments, and coordinating meetings. Utilize Microsoft Office for document creation, editing, and proofreading. Handle bookkeeping tasks using QuickBooks as needed. Provide clerical support by preparing reports, correspondence, and other documents. Prepare and send out estimates on a daily basis Maintain organizational systems to ensure efficient office management. Maintain the managers and estimators daily schedules Exhibit strong phone etiquette while communicating with clients and vendors. Qualifications Proven experience in an office environment with administrative or clerical responsibilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Familiarity with QuickBooks is a plus; bookkeeping experience is preferred but not necessary. Strong organizational skills with the ability to manage multiple tasks simultaneously. Excellent typing skills with attention to detail for accurate data entry and proofreading.
