Full-Time Job Description Just One Big Happy Family Behavioral Health IOP Clinic is seeking a reliable, organized, compassionate, and professional Administrative Assistant to join our growing team. The Administrative Assistant will play an important role in supporting the daily operations of our Intensive Outpatient Program (IOP). This individual will be responsible for providing administrative support to clinical and management staff while helping create a welcoming and professional environment for clients and families. The ideal candidate should have experience working in a behavioral health, mental health, substance use treatment, medical, or social services environment. Responsibilities
- Answer and direct incoming telephone calls professionally.
- Greet clients, families, visitors, and referral sources.
- Schedule client appointments, assessments, group sessions, and meetings.
- Assist with client admissions, intake, registration, and required documentation.
- Maintain accurate and organized client files and administrative records.
- Enter and update information in the Electronic Health Record (EHR) system.
- Scan, copy, file, and organize confidential documents.
- Assist clinical staff with administrative and documentation needs.
- Monitor and maintain office calendars and schedules.
- Communicate with referral sources, healthcare providers, insurance companies, courts, and community agencies as needed.
- Assist with insurance verification, authorizations, and other administrative processes.
- Prepare letters, reports, spreadsheets, and other office documents.
- Maintain office supplies and assist with general office operations.
- Follow all HIPAA, confidentiality, and agency policies and procedures.
- Provide excellent customer service to clients and community partners.
- Perform other administrative duties as assigned. Qualifications
- High School Diploma or GED required.
- Associate's or Bachelor's degree preferred.
- Previous administrative or front-office experience required.
- Experience working in behavioral health, substance use treatment, mental health, healthcare, or social services preferred.
- Experience with the Kipu Electronic Health Record system is strongly preferred.
- Strong computer skills, including Microsoft Word, Excel, email, and data entry.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Ability to work independently and as part of a multidisciplinary team.
- Professional, dependable, compassionate, and detail-oriented.
- Knowledge of HIPAA and client confidentiality requirements preferred. Preferred Qualifications Candidates with experience in one or more of the following areas are encouraged to apply:
