In this vital role, you will serve as the first point of contact for visitors and callers, manage daily administrative tasks, and support office operations to ensure a smooth and efficient workplace. Duties Greet visitors, clients, and vendors with professionalism and warmth at the front desk Manage multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette Handle data entry, filing, and document proofreading to ensure accuracy and organization Maintain calendars, schedule appointments, and coordinate meetings using Microsoft Office and Google Workspace tools Support bookkeeping tasks such as basic bookkeeping entries and invoice processing using QuickBooks or similar software Assist with office management duties including supply inventory, filing systems, and general administrative support Provide excellent customer service by addressing inquiries promptly and supporting client needs with professionalism Experience Prior office experience or administrative support experience is required; familiarity with clerical tasks is essential Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills Experience with multi-line phone systems, calendar management, and phone etiquette is highly valued Bilingual abilities are a plus to effectively communicate with diverse clients and team members Knowledge of QuickBooks or bookkeeping software is preferred for supporting financial tasks Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Personal assistant or medical/dental receptionist experience is advantageous for understanding specialized office workflows Join us in creating an energetic workspace where your organizational talents shine!
