In this vital role, you will serve as the first point of contact, ensuring smooth operations at the front desk while providing exceptional customer service. Your multitasking abilities and proficiency with office management tools will help foster a positive experience for everyone who walks through our doors. Responsibilities Greet members, visitors, and prospective clients with enthusiasm and professionalism, creating a friendly and inviting atmosphere Manage multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette Handle front desk duties such as checking in members, processing memberships, and scheduling appointments using office management software Maintain accurate records through data entry, filing, and proofreading to ensure all client information is up-to-date and organized Utilize Microsoft Office and Google Workspace applications for correspondence, reports, and administrative tasks Support office operations by managing calendars, coordinating appointments, and assisting with basic bookkeeping using QuickBooks or similar tools Provide exceptional customer support by addressing questions or concerns promptly and courteously while maintaining organizational skills Qualifications Bilingual abilities are highly preferred to effectively communicate with diverse clientele Proven office management or administrative experience, including clerical tasks such as filing, data entry, and document proofreading Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and multi-line phone systems Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Previous experience in customer service or front desk roles is highly desirable Knowledge of QuickBooks or similar bookkeeping software is a plus Ability to manage time effectively while handling multiple responsibilities simultaneously Personal assistant or office experience that demonstrates strong calendar management and phone reception skills Join us to be part of a lively team dedicated to supporting our members' health journeys while advancing your administrative expertise.
