Job Description
We are looking for an Administrative Assistant to support daily office operations for an education-focused organization in Newark, New Jersey. This Long-term Contract position is fully onsite and offers an opportunity to create a positive first impression while keeping administrative activities organized and running smoothly. The role is ideal for someone who communicates clearly, manages details carefully, and enjoys assisting students, staff, and visitors in a fast-paced environment.
Responsibilities:
- Welcome students, employees, and guests with a courteous and attentive front-desk presence.
- Respond to questions, handle incoming calls, and connect individuals with the appropriate department or team member.
- Coordinate calendars, arrange appointments, and support meeting logistics to ensure efficient scheduling.
- Enter information accurately into office systems and maintain both digital and paper files in an organized manner.
- Draft and format letters, reports, and other administrative documents as needed by the department.
- Safeguard sensitive records by exercising sound judgment and maintaining confidentiality at all times.
- Provide day-to-day clerical and administrative assistance to staff across the office.
- Contribute to a clean, welcoming, and well-organized onsite office environment.
- Assist with semester-based projects and provide additional support as priorities shift.
- At least 2 years of experience in administrative support, reception, office coordination, customer service, or a related setting.
- Strong verbal and written communication skills with a detail-oriented and approachable style.
- Ability to deliver attentive customer service and create a welcoming experience for a diverse population.
- Proven organizational skills with close attention to accuracy and detail.
- Comfortable handling confidential information with discretion and good judgment.
- Ability to manage multiple tasks effectively in a busy onsite office environment.
- Proficiency with Microsoft Office and standard office equipment and software.
