Job Summary We are seeking a dynamic and detail-oriented Bilingual Secretary to join our professional team. In this vital role, you will serve as the primary point of contact for clients, visitors, and staff, providing exceptional administrative support in a fast-paced environment. Your bilingual skills will enable seamless communication across diverse groups, ensuring clarity and efficiency in all interactions. This position offers an exciting opportunity to utilize your office management expertise, technical proficiency, and excellent organizational skills to contribute to our organization's success. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth Handle multi-line phone systems, screening calls and transferring messages accurately while maintaining excellent phone etiquette Perform data entry and maintain organized filing systems to ensure easy retrieval of documents and records Utilize Microsoft Office Suite (Word, Excel, Outlook) for document creation, scheduling, and correspondence Conduct bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping Assist with office management duties such as supply inventory, equipment maintenance, and scheduling appointments Support client communication efforts by preparing correspondence, proofreading documents, and ensuring confidentiality of sensitive information Skills Bilingual proficiency in [specify languages], with excellent verbal and written communication skills in both languages Strong computer literacy with proficiency in Microsoft Office applications and QuickBooks Proven clerical experience with a focus on administrative support, data entry, and filing systems Exceptional organizational skills with the ability to prioritize tasks effectively in a busy environment Excellent customer service skills with a professional demeanor and strong phone communication abilities Knowledge of office management procedures and office equipment operation Ability to handle confidential information discreetly and maintain high levels of accuracy in all tasks Personal assistant experience or office experience preferred to support executive needs effectively Join us to be part of a vibrant team where your skills make a real difference!
