Job Description
Operations Administrative Assistant Fire Alarm | Security | CCTV | Card Access We are seeking a dependable, organized, and motivated Operations Administrative Assistant to work directly with our Director of Operations and assist with a variety of administrative, field-support, permitting, and warehouse responsibilities. This is a hands-on position for someone who is comfortable working in an office environment while also handling occasional errands, permit coordination, and light warehouse duties. Responsibilities Assist the Director of Operations with day-to-day administrative and operational tasks. Prepare quotes and proposals for management review based on provided direction and information. Prepare job packets, paperwork, drawings, permits, and other documentation for technicians and installers. Apply for, pick up, and coordinate permits with local municipalities and town halls. Follow up with municipalities regarding permit and inspection requirements. Maintain and organize files, project documentation, and job records. Assist with scheduling and coordination of installation and service projects. Maintain inventory and organization of our small warehouse. Receive, organize, and track equipment and materials for upcoming jobs. Prepare materials and equipment for installers as needed. Assist with purchasing, parts coordination, and general operational support. Perform other administrative and operational duties as directed. Qualifications Strong organizational and communication skills. Comfortable working independently and taking direction. Ability to manage multiple projects and priorities. Basic computer skills, including email, Microsoft Office, and general office software. Experience preparing quotes, proposals, permits, or construction/service paperwork is a plus. Experience in the fire alarm, security, CCTV, card access, electrical, low-voltage, or construction industry is preferred but not required. Must have a valid driver's license, reliable personal transportation, and the ability to travel locally to municipalities, job sites, and suppliers when necessary. Dependable, professional, detail-oriented, and willing to learn. Pay:
