Job Description

The Anderson Firm, P.C. is seeking a professional, organized, and dependable Administrative Assistant to support our attorneys, Office Manager, and day-to-day firm operations. This position is ideal for someone who is highly detail-oriented, proactive, comfortable with technology, and capable of managing multiple priorities in a fast-paced professional environment. The Administrative Assistant will play an important role in maintaining efficient firm operations and providing an excellent experience for our clients. Key Responsibilities Provide administrative support to attorneys and the Office Manager. Answer and route telephone calls and assist with general client inquiries. Communicate professionally with clients, prospective clients, attorneys, and other outside parties by telephone and email. Schedule and coordinate client calls, consultations, meetings, and other appointments. Manage calendars and prepare and send meeting invitations and reminders. Assist with prospective client intake and new client onboarding. Maintain accurate client and matter information within the firm's systems. Organize, upload, download, and maintain electronic client files and documents. Assist with preparing, formatting, proofreading, and sending correspondence and documents. Monitor incoming communications and ensure important matters are appropriately routed and addressed. Assist with obtaining signatures and following up on outstanding documents and information. Track administrative tasks, deadlines, and outstanding items and conduct appropriate follow-up. Assist with billing and administrative follow-up as needed. Maintain accurate internal records, spreadsheets, trackers, and reports. Assist with special projects and other administrative and operational responsibilities as assigned. Maintain strict confidentiality regarding client, attorney, and firm information. Qualifications Excellent organizational and time-management skills. Exceptional attention to detail and accuracy. Strong written and verbal communication skills. Professional and courteous client-service skills. Strong proofreading skills. Ability to prioritize multiple assignments and meet deadlines. Ability to work independently while also collaborating effectively with a team. Strong follow-through and willingness to take ownership of assigned responsibilities. Ability to handle confidential and sensitive information with discretion. Comfortable learning new systems, processes, and technology. Prior administrative, legal, or professional-services experience is preferred. Technology Skills Candidates should be comfortable working in a technology-driven professional environment. Experience with the following is preferred: Microsoft 365 Microsoft Outlook Microsoft Word and Excel Microsoft Teams Adobe Acrobat and Adobe Sign Clio or similar legal practice-management/client-management software The ability to learn and adapt to new software and technology is essential.
