The ideal candidate will support our Firm Administrator in managing various law firm operational tasks, including supporting our legal teams with tasks ranging from initial client intake through practice support functions, while also handling essential administrative tasks and in person client interactions as well as reception duties. This role requires a strong understanding of office processes, excellent communication skills, and the ability to work both independently and collaboratively in a fast-paced environment. A self-starter mindset is essential, as the candidate will often take initiative to complete tasks with minimal supervision.
Responsibilities:
Document Management:
Review, verify, and organize legal documents, correspondence, reports, and other legal materials to ensure accuracy and compliance with firm standards.
Document Preparation:
Draft, revise, and edit letters, closing documents, and other materials necessary for real estate transactions; collect and analyze supporting information.
Client Intake:
Assist with the client intake process, entering and updating client information in the firm's case management system, ensuring an efficient and accurate onboarding process.
Calendar Management:
Manage attorney calendars by scheduling meetings, teleconferences, virtual appointments, and tracking critical dates for transactions and client follow-ups.
Communication Support:
Act as a liaison for the firms administration by communicating with staff, obtaining necessary information for firm objectives, and handling delegated tasks.
File Organization:
Update and maintain both physical and digital filing systems to ensure easy access and secure document retention.
Confidentiality Maintenance:
Protect client confidentiality by securely handling sensitive information, maintaining client trust, and complying with confidentiality protocols.
Document Production:
Produce, format, and manage text, data, and graphics as needed by transcribing, editing, retrieving, and transmitting information.
Event Support:
Assist with firm networking and event planning activities as directed by the principal attorney and administrative team.
Required Skills and Qualifications:
Strong verbal and written communication skills. Excellent time management and organizational skills, with the ability to prioritize and multitask. Professional phone etiquette and interpersonal skills. Integrity and discretion are essential to handle confidential information. Ability to work independently, take initiative, and proactively complete tasks with minimal supervision. Proficiency in Microsoft Office Suite and readiness to learn legal software specific to real estate practices.
Education & Additional Preferred Qualifications:
Bachelor's degree preferred. Notary certification is a plus. Prior experience in a legal or real estate environment is highly desirable. Bilingual (Spanish) skills required.
