DUTIES & REPSPONSIBILITIES

Supports the company by maintaining office operations and procedures, managing correspondence, preparing, tracking and following through on purchase requests, and running errands as needed.

Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals. Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs.

Ensure kitchen, breakroom, and other employee areas are clean, maintained, and provide a safe working environment.

Performs diverse administrative activities; serves as a liaison with employees, clients and customers in the resolution of a variety of day-to-day matters.

Researches information, compiles statistics, gathers and computes various data; prepares reports, summaries, or replies to inquiries selecting relevant data from a variety of sources.

Assist in Human Resources duties such as, sending out reminders and preparing, collecting paperwork, and filing HR related items such as employee annual training. Sending out various reminders to employees and collecting related paperwork. Posting recruitment ads.

Performs support activities such as answering telephones, assisting and resolving problems and inquiries of visitors, reviewing incoming and outgoing correspondence.

Schedules meetings and maintains calendars; and makes travel arrangements, as required.

Actively participate in the planning, coordinating, and execution of company events, parties, celebrations, and conferences.

Performs miscellaneous job-related duties as assigned.

Knowledge of book-keeping principles (Plus if experience with bookkeeping and/or accounting).

Basic bookkeeping tasks to assist with financial administration, including but not limited to data entry, payroll & purchasing.

KNOWLEDGE, SKILLS & ABILITIES REQUIRED

Bachelor's Degree, or High School Diploma and at least 5 years of experience directly related to the duties and responsibilities specified above.

Ability to communicate effectively, both orally and in writing; and to create, compose, and edit written materials.

Attention to detail and record maintenance skills.

Ability to gather data, compile information, and prepare reports. Skill and extensive experience in the use of Excel, Microsoft Word, and PowerPoint.

Knowledge of accounting & bookkeeping principals.

Skill in organizing resources and establishing priorities.

Demonstrated ability to maintain confidentiality.

Ability to make administrative/procedural decisions to solve problems.

Ability to thrive in a fast-paced environment with quickly changing business needs.

Ability to work efficiently and be well organized.
