Job Description
The Administrative Support Specialist II will provide administrative/secretarial support for the department/division such as answering telephones, assisting visitors, and resolving and/or referring to a range of administrative problems and inquiries. A sample of the types of duties this position will perform include but are not limited to: Operate personal computer to prepare, maintain, modify, and file a multitude of written correspondence and/or memos from dictation, verbal direction, or from knowledge of established department/division policies. May prepare, transcribe, compose, type, edit, and distribute agendas and/or minutes of meetings. Maintain a current internal phone list and distribute with updates as they occur. Compile, format and edit, correspondence and reports using Microsoft Word, Excel, and PowerPoint. Assist with other related clerical duties such as photocopying, faxing, filing, and collating. Coordinate and perform a range of staff and/or operational support activities for the unit. Coordinate the purchase of supplies, equipment, and/or services ordering and inventory control. Scheduling appointments and meetings, operating reproduction machines; filing correspondence and miscellaneous documentation; distributing mail; inventorying and managing government property; inventorying and managing project records; creating files; timekeeping; and data entry. Education Associates degree in related field is required. Two (2) years of work direct experience may substitute for the education requirement. Experience Minimum of six (6) years of commensurate experience in a business office environment is required, eight (8) years total if no degree. Special knowledge, skills, & abilities Must be proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams). Visio and Webex experience desired. Must be courteous, customer focused, well organized, flexible, and able to demonstrate proficient communication. Ability to communicate effectively, both orally and in writing required. Ability to gather data, compile information, and prepare reports required. Must be able to maintain confidential records and information. Knowledge of supplies, equipment, and/or services ordering, and inventory control required. Must be skilled in the use of operating basic office equipment.
