We are seeking a friendly, organized, and energetic Receptionist / Client Services Coordinator to serve as the first point of contact for our clients, caregivers, families, and community partners. As the face of Rustic Health, you will play a critical role in creating a welcoming and professional environment while supporting the daily operations of our growing healthcare organization. From greeting visitors and answering phones to assisting with scheduling, records management, and administrative support, your attention to detail and positive attitude will help ensure our office runs smoothly and efficiently. What You'll Do Welcome clients, caregivers, visitors, and community partners with professionalism and warmth. Answer and manage multi-line phone systems, directing calls and assisting callers efficiently. Schedule appointments, meetings, interviews, and caregiver orientations. Assist clients and families with general inquiries regarding services and office procedures. Maintain accurate records through data entry, filing, scanning, and document management. Support office operations using Microsoft Office, Google Workspace, and agency software platforms. Coordinate incoming and outgoing mail, packages, and correspondence. Assist with onboarding paperwork, compliance documentation, and administrative projects. Help maintain organized office spaces and ensure supplies are stocked and available. Provide support to branch managers, schedulers, and leadership teams as needed. Uphold confidentiality and HIPAA standards when handling client and employee information. Deliver exceptional customer service that reflects Rustic Health's commitment to compassion, professionalism, and excellence. What We're Looking For Previous experience in reception, customer service, healthcare administration, or office support preferred. Strong communication and interpersonal skills with a customer-first mindset. Ability to multitask and remain organized in a busy office environment. Experience with Microsoft Office Suite, Google Workspace, and general office technology. Strong typing, data entry, and record-keeping abilities. Professional phone etiquette and excellent verbal and written communication skills. Bilingual (English/Spanish) candidates are strongly encouraged to apply. Experience in healthcare, home care, medical offices, or social services is a plus. Familiarity with scheduling software, electronic records, or QuickBooks is beneficial but not required.
