Job Description

We are looking for an Administrative Assistant to provide reliable office support for an active construction team. This is a long-term Contract position working out near the Tahoe-Reno Industrial Center (TRIC) and offers the opportunity to work closely with project and safety leadership while helping daily operations stay organized and on schedule. The ideal candidate is adaptable, detail-oriented, and comfortable handling a variety of clerical and administrative tasks in a fast-paced project environment.
Responsibilities:
Support project and safety leaders with day-to-day administrative tasks to keep site operations running efficiently. Prepare, update, and maintain records, reports, and other office documents with a high level of accuracy. Enter information into tracking systems and spreadsheets while ensuring data is current and well organized. Manage incoming and outgoing correspondence, including email, shipping coordination, and document distribution. Scan, file, and organize physical and digital records so materials are easy to retrieve when needed. Assist with scheduling, timeline tracking, and general coordination of administrative activities across the project team. Provide attentive customer service to internal staff, visitors, and external contacts as needed. Use Microsoft Word, Excel, Outlook, and PowerPoint to create documents, maintain logs, and support reporting needs. At least 2 years of administrative or clerical experience, preferably in a construction or project-based environment. Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint. Strong data entry skills with careful attention to detail and accuracy. Ability to organize files, scan documents, and manage records in both paper and electronic formats. Experience supporting multiple team members and adjusting priorities as daily needs change. Effective communication and customer service skills when interacting with staff and outside contacts. Ability to manage timelines, stay organized, and maintain productivity in a busy office setting.
