Job Description
We are looking for a highly organized, dependable, and proactive Personal & Business Assistant to work directly with the owner of a growing e-commerce business. This role is ideal for someone who enjoys variety, takes initiative, and is comfortable handling a combination of business responsibilities, personal tasks, errands, research, scheduling, and day-to-day problem solving. The goal of this position is simple: help keep the owner organized, save time, follow through on outstanding tasks, and make sure important things do not fall through the cracks. Responsibilities Manage and organize the owner's schedule, appointments, meetings, and reminders. Schedule calls, meetings, appointments, reservations, and other commitments. Follow up with vendors, customers, service providers, and other contacts when needed. Make phone calls and handle routine communication on behalf of the owner. Assist with basic emails, correspondence, documents, and paperwork. Keep track of outstanding tasks and follow up until they are completed. Maintain organized task lists and help prioritize what needs attention. Research products, services, vendors, pricing, travel, purchases, and other topics. Assist with purchases, returns, exchanges, and order-related issues. Coordinate travel arrangements including flights, hotels, transportation, reservations, and itineraries. Assist with personal appointments, household matters, and other personal administrative tasks. Purchase and organize office, household, and personal supplies when needed. Handle local errands, pickups, drop-offs, and miscellaneous tasks. Help coordinate projects involving multiple vendors, appointments, or deadlines. Identify problems, research solutions, and help get issues resolved without requiring constant direction. Assist with additional business or personal projects as they come up. What We Are Looking For Extremely organized and detail-oriented. Reliable and consistent. Proactive rather than waiting to be told what to do. Able to keep track of multiple tasks at the same time. Strong follow-through and ability to make sure tasks actually get completed. Good written and verbal communication skills. Comfortable making phone calls and communicating with businesses and vendors. Resourceful and capable of figuring things out independently. Comfortable researching unfamiliar topics online. Able to learn new software and systems quickly. Good judgment and problem-solving skills. Professional, trustworthy, and discreet with confidential information. Flexible and comfortable working in a position where responsibilities may change from day to day. Preferred Qualifications Previous experience as a Personal Assistant, Executive Assistant, Administrative Assistant, Office Coordinator, or similar role. Experience coordinating travel, appointments, or vendors. Comfortable using Google Workspace and/or Microsoft Office. Strong computer and internet research skills. Valid driver's license and reliable transportation. Experience working with a small business, entrepreneur, or business owner is a plus. About the Role This is not a traditional desk-only administrative position. Some days may involve scheduling meetings and researching vendors, while others may involve making a return, picking something up, coordinating travel, making phone calls, or solving an unexpected problem. We are looking for someone who can become a dependable right-hand person to the owner—someone who understands priorities, stays ahead of tasks, and gradually becomes capable of handling more responsibilities independently.
