Job Description

The Secretary to the Assistant Superintendent for Instruction and Business Manager position is a full-time Civil Service Competitive position for a clerical staff member to serve as support reporting directly to the Business Manager. This position will work in close cooperation to the Building Principal, Teachers, Visitors and Staff Members, as the District carries out the Board of Education goals, mission and vision as well as New York State initiatives.
Scope of Responsibilities:
Acts as receptionist, welcoming and directing visitors in the Business Office Generate purchase orders for materials and supplies that support the work of the Business Manager Copy materials and order supplies for District Assist Business Manager with time cards - to meet payroll deadlines Assist Business Manager with Free & Reduced Lunch program/CEP Program Generate AESOP download into WinCap daily for proper attendance keeping Maintain the Records Management of files located in the Records Storage Room Schedule appointments and answer the phone for the Business Manager Maintain Business Office website with Jim Montour Coordinate and disseminate correspondence from the Business Manager Maintain up-to-date electronic records as needed for data tracking for various programs Time card backup to all secretaries Create payroll vouchers Process and record daily cash/checks Generate Conference paperwork Student Accident reports Direct Certification file upload into Mosaic Report monthly meal totals to Child Nutrition system Track Foster & McKinney-Vento students - create STAC forms Reasonable Assurance letters Obtain Certificates of Liability Insurance Handle auction items for the district Record fire alarms for the district Pesticide notices/Well reports Attendance for Sales Tax and other various end of year duties Maintain list and record of active contracts entered into by the District Assist Director of Facilities with occasional clerical duties Other clerical duties as assigned by the Assistant Superintendent for
