Job Summary We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities Manage multi-line phone systems, answer inquiries promptly, and direct calls with professionalism and courtesy Perform data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace Handle front desk duties including greeting visitors, managing appointments, and maintaining a professional reception area Organize and maintain filing systems, both physical and digital, ensuring easy retrieval of documents Support office management activities such as supply ordering, calendar management, and scheduling meetings Provide customer support by addressing inquiries via phone or email with excellent phone etiquette and customer service skills Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices Qualifications Proven office experience with strong organizational skills and attention to detail Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools Experience with multi-line phone systems and front desk operations in a professional setting Bilingual abilities are highly desirable to serve diverse client needs effectively Strong typing skills with a focus on proofreading and accuracy in all communications Knowledge of clerical procedures such as filing, document management, and calendar coordination Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required Excellent time management skills with the ability to prioritize tasks efficiently Join us in this energetic role where your organizational talents will shine!
