Job Summary The School Secretary plays a vital role in ensuring the smooth operation of the school office. This position requires a highly organized individual who can manage multiple tasks efficiently while providing exceptional customer service to students, parents, and staff. The ideal candidate will possess strong clerical skills, be proficient in various office software, and demonstrate excellent communication abilities. Duties Serve as the first point of contact for visitors and callers, managing a multi-line phone system with professionalism and courtesy. Perform clerical tasks such as data entry, filing, and maintaining student records with accuracy and confidentiality. Manage calendars and schedule appointments for school staff, ensuring effective time management. Assist in bookkeeping tasks, including maintaining financial records and processing invoices using QuickBooks or similar software. Provide administrative support to school leadership, including proofreading documents and preparing reports. Utilize Microsoft Office and Google Workspace for document creation, spreadsheet management, and presentations. Handle customer support inquiries from parents and students with a focus on problem-solving and satisfaction. Maintain an organized office environment that fosters efficiency and productivity. Assist with any additional duties as assigned by school administration. Requirements Proven experience in an office setting with strong clerical skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Familiarity with multi-line phone systems and front desk operations. Excellent organizational skills with the ability to manage multiple priorities effectively. Strong typing skills with attention to detail for accurate data entry and proofreading tasks. Bilingual candidates are preferred to enhance communication with diverse populations. Previous experience in customer service or administrative roles is highly desirable. Knowledge of bookkeeping principles is a plus; experience as a dental or medical receptionist is advantageous. Strong time management skills to ensure timely completion of tasks in a fast-paced environment.
