Job Description

We are looking for a Back Office Specialist to manage daily administrative tasks and provide support across our medical office. In this role, you will interact with attorneys, medical facilities, insurance companies, and patients, while also assisting the front desk as needed. You will be responsible for a variety of administrative functions including document handling, data entry, phone communication, and coordination with external parties. The ideal candidate is organized, proactive, and able to manage multiple tasks under pressure. Strong multitasking and stress management skills are essential. This role may occasionally require front desk coverage, including greeting visitors, directing phone calls, and managing incoming correspondence. A friendly and professional demeanor is important, as this role involves regular interaction with patients and partners. Flexibility with work hours may be required. Please note this a full time position! Responsibilities Manage incoming and outgoing medical records, ensuring accurate documentation and filing Handle lien documentation and follow-ups with attorneys and insurance companies Coordinate with patients, providers, and external contacts to ensure timely completion of paperwork Answer inbound phone calls and return messages related to scheduling, billing, or documentation Follow up on pending authorizations, referrals, and required documents Update patient records and office systems with current information Maintain organized digital and physical filing systems Support front desk or clinical staff with administrative needs as required Ensure compliance with HIPAA and office confidentiality protocols Assist in daily office operations to support smooth patient flow and staff communication Skills Proven work experience as a Receptionist, Front Office Representative or similar role Proficiency in Microsoft Office Suite Hands-on experience with office equipment (e.g. fax machines and printers) Professional attitude and appearance Solid written and verbal communication skills Ability to be resourceful and proactive when issues arise Excellent organizational skills Multitasking and time-management skills, with the ability to prioritize tasks Customer service attitude High school degree; additional certification in Office Management is a plus Bilingual in Spanish is a must
