Job Description

We are seeking a Project Administrator to support commercial construction projects for our client in Buffalo, NY. This role focuses on handling daily administrative tasks and keeping project documentation organized. You'll work closely with project managers and field teams to help projects run smoothly.
Salary:
$58,000 to 70,000
K DOE Key Responsibilities:
Provide administrative support to Project Managers and Superintendents on active construction projects Maintain and organize project documentation, including contracts, subcontracts, RFIs, submittals, change orders, meeting minutes, and closeout documents Assist with bid preparation, proposal tracking, and contract execution Coordinate project schedules, meetings, and correspondence with internal teams, subcontractors, vendors, and clients Track insurance certificates, lien waivers, compliance documentation, and subcontractor onboarding requirements Support cost tracking, purchase orders, and invoice processing in coordination with accounting Update project management systems and ensure accurate recordkeeping Assist with permitting, inspections, and regulatory documentation as needed Support project closeout activities, including punch lists, warranties, and final documentation
Qualifications:
2+ years of administrative experience, preferably in construction or a related industry Strong organizational skills and attention to detail Proficiency in Microsoft Office (Word, Excel, Outlook); experience with construction management software a plus Ability to manage multiple priorities in a fast-paced environment Strong written and verbal communication skills Familiarity with construction documents and terminology preferred Aleron companies (Acara Solutions, Aleron Shared Resources, Broadleaf Results, Lume Strategies, TalentRise, Viaduct) are an Equal Opportunity Employer.
