Job Description

Position Summary:
We are seeking a dependable, organized, and personable Leasing & Administrative Assistant to assist with the day-to-day operations of our property management office. This position will be responsible for assisting prospective and current residents throughout the leasing process while also providing general administrative and office support. The ideal candidate is professional, comfortable communicating with tenants and prospective residents, able to handle multiple tasks at once, and willing to assist wherever needed to keep the office running smoothly.
Responsibilities:
Leasing & Resident Relations Respond to leasing inquiries and provide prospective residents with information on availability, pricing, policies, and application requirements. Schedule and conduct apartment showings and follow up with prospective residents as needed. Assist with the full leasing process, including applications, applicant screening, lease preparation and signings, renewals, and move-in/move-out coordination. Maintain accurate and organized applicant and resident records within the property management system. Assist current residents with general questions and concerns and provide ongoing resident communication. Prepare and send lease violations, resident notices, renewal information, and other correspondence as directed. Administrative & Office Support Answer incoming calls, monitor general office emails, and greet residents, prospective tenants and visitors. Prepare letters, notices, forms, and other correspondence, while maintaining organized electronic and paper records. Assist with general office tasks including data entry, updating resident information, mail, and office organization. Help coordinate appointments, inspections, maintenance access, and other property-related scheduling. Communicate with maintenance and property management staff regarding resident requests and provide additional administrative support to management as needed Qualifications Previous leasing, property management, customer service, or administrative experience preferred Strong written and verbal communication skills Professional and friendly phone manner Excellent organization and attention to detail Ability to prioritize multiple responsibilities and follow through on tasks Comfortable handling resident concerns professionally and confidentially Proficient with email and general computer systems Experience with property management software (appfolio) is a plus Dependable, punctual, and able to work both independently and as part of a team Ideal Candidate We are looking for someone who is friendly and approachable but also comfortable enforcing policies and communicating professionally with residents when issues arise. This person should be proactive, organized, detail-oriented, and willing to take ownership of both leasing responsibilities and general office tasks. This is a hands-on position that requires someone who can easily transition between assisting a prospective tenant, answering phones, preparing resident correspondence, completing leasing paperwork, and helping with the everyday needs of the property management office.

$18.00 - $23.00 per hour
