Duties Greet visitors, clients, and vendors warmly, ensuring a positive experience from the moment they arrive Manage multi-line phone systems to handle inquiries efficiently and direct calls appropriately Maintain a tidy and organized reception area to promote a professional environment Perform data entry tasks using spreadsheets, Microsoft Office applications, and QuickBooks for financial or administrative records Assist with office management duties such as scheduling appointments, managing supplies, and coordinating meetings Provide excellent customer support by addressing questions promptly and courteously Handle clerical responsibilities including word processing, proofreading documents, and managing correspondence Support administrative tasks such as filing, photocopying, and maintaining office records with accuracy and attention to detail Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and productivity software for efficient task completion Strong computer literacy with experience in data entry, spreadsheets, and office management tools like QuickBooks Excellent phone etiquette with experience operating multi-line phone systems for professional communication Bilingual abilities are highly desirable to serve diverse client needs effectively Demonstrated organizational skills with the ability to prioritize tasks and manage time effectively Previous office or clerical experience that showcases attention to detail and reliability Technical proficiency in office equipment such as printers, scanners, and fax machines Exceptional customer service skills with a friendly demeanor and clear communication style Personal assistant or front desk experience is a plus for understanding client communication dynamics Join our team to be the friendly face that keeps our office running smoothly!
