This is a hands-on role for someone who enjoys keeping projects organized, working with data, solving problems, and learning how different areas of a business operate. The position will work closely with senior leadership and will have exposure to operations, finance, human resources, and general business administration. The ideal candidate is someone who is eager to learn, comfortable taking ownership of projects, and able to manage a variety of priorities in a fast-paced environment. Key Responsibilities Track ongoing projects, deadlines, schedules, and follow-up items Assist the President/CFO with day-to-day operational and administrative needs Manage general correspondence, including emails and phone calls Prepare and maintain reports, spreadsheets, records, and other business documentation Review and analyze reports to help identify outstanding items and keep projects moving forward Assist with larger recurring projects and time-sensitive initiatives Support insurance renewals, audits, vendor matters, and other business processes Assist with drafting and maintaining company policies and internal documentation Help coordinate matters related to company locations, landlords, vendors, and service providers Handle general office management responsibilities, including mail, supplies, records, and organization Perform data entry and maintain accurate business records Assist with special projects for senior leadership as needed Cross-Functional Support Receive training to provide backup support for certain bookkeeping functions when needed Receive training to provide backup administrative support for HR functions when needed Work collaboratively with the company's bookkeeper and HR team rather than serving as the primary owner of those functions Qualifications Prior administrative, executive assistant, office management, or business operations experience preferred Strong organizational skills and attention to detail Comfortable working with numbers, spreadsheets, reports, and business documents Strong written and verbal communication skills Proficiency in Microsoft Office, particularly Excel and Gmail Ability to manage multiple priorities and follow through on assignments Strong problem-solving skills and willingness to learn Ability to handle confidential information professionally Interest in business operations, accounting, finance, or HR is a plus This is an in-office role Monday-Friday in our Elmhurst location. Must have consistent, reliable means of transportation to and from the workplace (public transit accessible).
