We are seeking a highly organized, dependable, and motivated Administrative Assistant to join our team and support the daily operations of our Christian childcare program.
Position Status:
This is a temporary Administrative Assistant position based on the current staffing needs of Loving Childcare. The length of the assignment may vary. There may be an opportunity for the position to become permanent depending on future staffing needs, job performance, attendance, reliability, professionalism, and overall fit with the organization. Continued or permanent employment is not guaranteed.
Job Summary:
The Administrative Assistant will play a crucial role in the smooth functioning of our childcare program by providing administrative and operational support, maintaining accurate records, communicating with parents, and assisting with regulatory compliance. This position requires strong organizational skills, attention to detail, flexibility, excellent interpersonal abilities, and a commitment to Christian values.
Key Responsibilities:
Assist the Childcare Program Director and staff with daily administrative and operational tasks. Maintain accurate records of children's attendance, medical information, enrollment documents, and other important records. Communicate professionally with parents, respond to inquiries, and provide approved pictures, videos, and updates regarding their child's activities and progress. Coordinate staff schedules and assist with organizing activities and events. Order and maintain supplies and materials needed for the program. Assist in ensuring the program meets applicable local, state, and federal regulations. Assist with onboarding and training new staff and provide ongoing administrative support. Monitor student-to-teacher ratios and provide classroom coverage when necessary. Oversee the safe transportation of after-school children from a local school within walking distance. Serve as the first point of contact for parents, visitors, and staff while providing excellent customer service. Prepare reports, correspondence, and documents for internal use and regulatory agencies. Organize meetings, prepare materials, and take accurate meeting minutes. Plan and coordinate special events, meetings, activities, and family programs. Transcribe and enter information accurately. Maintain the confidentiality of children, families, staff, and organizational records. Support staff with general operational duties as assigned. Promote a positive, professional, and Christ-centered environment. Support the spiritual growth of children and staff while upholding the mission and values of Loving Childcare.
Qualifications:
High school diploma or equivalent required; additional education or training in office administration is a plus. Previous experience as an Administrative Assistant or in a similar role, preferably in a childcare or educational setting. Strong organizational, time-management, and multitasking abilities. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite and other relevant software. Strong attention to detail and the ability to maintain accurate records. Ability to handle sensitive and confidential information with discretion. Friendly, dependable, and professional demeanor. Strong commitment to providing excellent customer service. Ability to work independently and as part of a team. Flexibility and willingness to assist in classrooms or other program areas when needed. Experience organizing meetings and taking meeting minutes is preferred. Ability to transcribe and document information accurately. Knowledge of childcare regulations and compliance requirements is preferred. Previous customer-service experience is a plus. A strong commitment to Christian values and the mission of Loving Childcare. Active participation in a Christian community and a personal relationship with Jesus Christ are highly desirable. Bilingual proficiency in English and Spanish is highly desirable.
Pay:
$19.75 - $28.00 per hour
