Law School - Gitenstein Institute Description Reporting to the Director of Administrative Operations, the position performs clerical tasks for faculty on an executive secretary level. The position also performs clerical tasks for the law school's Communications department under the supervision of the Associate Dean for Communications and Marketing. Responsibilities include, but are not limited to: Provides support by preparing correspondence, reports, course materials, outlines, and examination packets. Assists with class evaluations and Canvas-related tasks, including posting announcements and supplemental materials. Supports faculty by screening calls, assisting visitors, serving as a liaison with students, maintaining calendars, and scheduling appointments. Coordinates travel and conference arrangements and processes related expense reimbursements and check requests. Provides backup coverage for other assistants as needed. Supports the Communications Department by creating and maintaining mailing lists for marketing conferences, events, and lectures, including lists of deans, academic deans, and law school faculty. Prepares and tracks Communications Department expense documentation related to advertising and printing. Maintains physical and digital filing systems for archived publications. Updates dates, names, and other information in the website's content management system. Performs other related duties requiring a similar level of skill and responsibility.
Hours:
Monday through Friday 9am to 5pm. Subject to bumping Qualifications Minimum of three years clerical experience. Detailed oriented, demonstrated ability to prioritize and manage multiple tasks effectively. Ability to exercise discretion and good judgment. Professional telephone manner, communication, and interpersonal skills Strong word processing skills and proficiency with Microsoft Word, Excel, and Outlook. Overtime required during peak periods. Preferred Qualifications Experience in higher education, preferably within a law school or comparable academic environment. Experience with Canvas or other learning management system.
