Duties Greet visitors and clients with professionalism and warmth, managing front desk operations efficiently Answer multi-line phone systems promptly, directing calls accurately and courteously Manage appointment scheduling, calendar coordination, and meeting arrangements Perform data entry tasks using productivity software such as Microsoft Office and spreadsheets Maintain organized files, records, and office supplies to ensure smooth workflow Assist with bookkeeping using QuickBooks or similar accounting software for invoicing and expense tracking Support office management activities including coordinating supplies, equipment maintenance, and general administrative support Proofread documents for accuracy and clarity, ensuring high-quality communication Provide customer service by addressing inquiries via phone or email with professionalism and patience Support team members with administrative tasks such as word processing, typing, and document preparation Experience Previous office experience or clerical experience demonstrating strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software Experience with data entry and maintaining spreadsheets accurately Knowledge of QuickBooks or other accounting software is a plus Excellent phone communication skills with proper phone etiquette Bilingual abilities are highly desirable to serve diverse client needs effectively Strong computer literacy and technical proficiency in office management tools Demonstrated ability to multitask efficiently while managing time effectively Personal assistant experience or front desk responsibilities preferred but not required Join us as an Office Assistant and become an integral part of a lively team dedicated to excellence!
