Job Description

Overview We are seeking a highly organized and detail-oriented Administrative Assistant to join our CPA firm. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various software tools. This role involves providing comprehensive administrative support to ensure smooth daily operations, managing front desk duties, and assisting with data entry and document proofreading. Experience in bookkeeping and accounts receivable procedures are a plus. The position offers an engaging work environment where professionalism and customer service are paramount. Responsibilities Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy Perform data entry, filing, and document proofreading to maintain accurate records Utilize Microsoft Office Suite and Google Workspace for report preparation, correspondence, and scheduling Coordinate calendar management and appointment scheduling for staff and clients Handle customer support inquiries via phone, email, or in person, ensuring excellent phone etiquette and customer service standards Assist with office management tasks such as organizing supplies, maintaining office equipment, and supporting administrative projects Support bookkeeping activities using QuickBooks or similar software when necessary Provide personal assistant support including calendar management and task prioritization Maintain confidentiality of sensitive information in compliance with company policies Experience Prior office experience is required, with familiarity in clerical tasks such as filing, data entry, and proofreading Experience with front desk operations in medical or dental settings is preferred Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and computer literacy is essential Knowledge of QuickBooks or bookkeeping software is a plus Strong organizational skills with the ability to multitask effectively and manage time efficiently Excellent communication skills, both verbal and written. Demonstrated customer service experience with professional phone etiquette and support skills Previous experience in office management or administrative roles will be highly valued
Pay:
$30.00 - $45.00 per hour
