TO THE RULES OF THE COLLECTIVE BARGAINING AGREEMENT. JOB SUMMARY
Secretary I is an administrative support position in an office and increases the effectiveness of program staff by assisting in the coordination of the paper flow of the office and carrying out day-to-day administrative and program support activities required to accomplish the work of the organization. Secretaries are supervised by an Office Manager or a Department Director and the nature and variety of their activities depend on the program area in which they work.
ESSENTIAL FUNCTIONS
1. Organizes and coordinates the administrative activities in an office including sorting and distributing mail, filing materials and records, maintaining and updating files, scheduling appointments and meetings, making travel arrangements and ordering and maintaining an inventory of supplies. 2. Formats, keyboards, and proofreads correspondence, manuscripts, reports and other material by operating a windows based environment. May use computer applications such as spreadsheets, word processing, calendar, and e-mail and database software in performing assignments. 3. Greets visitors and answers telephone calls. Refers questions to appropriate individuals or personally provides information about CSEA programs, benefits and services to CSEA members and CSEA Local Officers. 4. Prepares responses to routine letters concerning program, policies and procedures for own or supervisor's signature. 5. Assists in the preparation of CSEA events such as ordering, packing, lifting and transporting event materials. 6. Takes minutes for internal meetings. 7. Performs other related duties as required.
MINIMUM QUALIFICATIONS
High School diploma or equivalency and must possess grammar, spelling, proofreading and punctuation skills. Ability to type 35 words per minute AND Must pass an office skill test administered by the Human Resources Department. AND Two years experience in an office clerical or secretarial environment OR A satisfactory equivalent combination of appropriate education and experience as determined by CSEA. Advancement to a Grade 8 upon completion of two years of satisfactory performance as a Grade 7 as determined by the supervisor.
