Job Description

Description We are looking for a detail-oriented Administrative Assistant to support the superintendent's office in New York. This Contract position is ideal for someone who enjoys keeping daily operations organized, providing effective front-office support, and serving as a helpful point of contact for families and staff. The role combines administrative coordination, document management, and communication responsibilities in a fast-paced education environment.
Responsibilities:
  • Manage the superintendent's calendar by scheduling meetings, coordinating appointments, and helping maintain an efficient daily agenda.
  • Prepare, organize, scan, copy, and file documents to support accurate recordkeeping and smooth office operations.
  • Welcome visitors and handle front-desk activities with professionalism, ensuring a positive experience for staff, parents, and community members.
  • Respond to inbound phone calls and direct inquiries to the appropriate department or individual in a timely manner.
  • Serve as a liaison for parents by addressing routine questions, relaying information, and helping connect families with school resources.
  • Enter and update administrative data with accuracy to maintain organized office records and support reporting needs.
  • Assist with general office tasks such as correspondence, document preparation, and administrative follow-up for the superintendent's office. Requirements
  • Experience providing administrative support in an office, school, or similar environment.
  • Ability to manage calendars, organize schedules, and handle multiple priorities efficiently.
  • Proficiency in data entry, document filing, scanning, and copying with strong attention to detail.
  • Strong verbal communication skills, including confidence in answering inbound calls and assisting visitors.
  • Comfortable performing receptionist and front-office duties in a structured setting.
  • Ability to interact courteously and effectively with parents, staff, and other stakeholders.
  • Dependable organizational skills and the ability to maintain confidentiality when handling sensitive information.
