Job Description

OverviewWestchester Jewish Community Services (WJCS) is an award-winning, nonsectarian nonprofit human services agency founded in 1943. Today, WJCS is the largest provider of licensed outpatient community mental health services and one of the largest human service agencies in Westchester County. WJCS delivers innovative programs and services and compassionate care to more than 20,000 people of all ages and backgrounds each year.

We are currently seeking a dedicated and detail-oriented full-time Clinic Secretary to join our outpatient clinic team in Mount Vernon. The Clinic Secretary will play a key role in supporting the smooth operations of the clinic. The salary for this full-time position is $52,000.ResponsibilitiesAs a valued member of our team, your responsibilities will include, but are not limited to:

Greet and check in clients and visitors in a respectful and trauma-informed manner.

Answer, screen, route, and document calls and coordinate mail, faxes, and inter-office communications.

Schedule and confirm appointments for the clinical and care coordination team in a timely manner and maintain clinic calendars and staff schedules.

Assist with telehealth coordination and transportation services for clients.

Assist with data entry related to admissions, discharges, and transfers and maintain accurate and confidential client records.

Inform clients of applicable copays and collect payments; issue receipts and accurately document payments.

Provide general administrative support to clinical staff and prepare materials for appointments, including intake packets and consent forms, and meetings.

Assist with ordering and organizing office supplies.

RequirementsWe are seeking candidates who possess the following qualifications:

High School Diploma or GED and at least four years of relevant experience, or an Associates Degree in a relevant field plus two years experience, or have graduated from an approved secretarial or business school plus two years experience, or any satisfactory equivalent combination of the aforementioned training and experience.

Availability to provide evening coverage at least two times per week, typically until 7:00pm. Excellent customer service skills.

Proficiency in data entry and experience with electronic medical record system; proficiency with computer skills.

Familiarity with administrative procedures in a mental health or healthcare setting.
