Overview We are a small, family-owned, client-focused accounting firm looking for a dependable, reliable, positive, and organized Administrative Assistant to join our team. This role is ideal for someone who enjoys helping people, staying organized, and keeping an office running smoothly. 20 hours a week; which increase to approximately 30 hours per week from February 1 through April 15, with additional hours available or required as needed. Previous office experience is preferred, but we are willing to train the right person. We are looking for someone who takes initiative, is comfortable asking questions when clarification is needed, and can work independently to complete tasks efficiently.

Has a positive and professional attitude Provides excellent customer service Is friendly and comfortable interacting with clients Follows written instructions and established procedures carefully Takes initiative and identifies what needs to be done Asks questions when clarification is needed Works independently and manages time effectively Can thrive in a fast-paced environment, particularly during tax season Is highly organized and detail-oriented Are comfortable learning new systems and procedures Has reliable transportation for local bank deposits and occasional errands Is comfortable working alone in the office Understands the importance of maintaining client confidentiality Required Skills Proficiency in Microsoft Office, including: Outlook - email and calendar management Excel - basic formulas preferred; additional training will be provided Strong typing and computer skills Familiarity with Google Workspace and/or similar online tools Strong verbal and written communication skills Professional phone etiquette Excellent organizational and time-management skills Ability to prioritize multiple tasks and deadlines Strong attention to detail and accuracy Customer service experience with a friendly, professional demeanor Preferred Qualifications Previous experience as an administrative assistant, office assistant, receptionist, or in an accounting office Customer service experience, particularly in retail, service, or other client-facing environments Experience working in a small office environment Key Responsibilities Daily Answer phones and assist clients in a professional and friendly manner Take detailed messages and assist clients promptly when possible Communicate client requests that require additional assistance to the appropriate team member Review and maintain appointment calendars Complete assigned administrative projects and tasks File documents and maintain organized records Scan and electronically store documents Assist with general office operations and special projects as needed Monthly Print client records and pull files as needed Coordinate with service providers Schedule and manage document-shredding services Submit reimbursement paperwork and maintain supporting documentation Organize and electronically save client reports and documentation Run local errands, including bank deposits and post-office trips Monitor office-supply inventory and order supplies as needed Research pricing to obtain supplies at the best available cost During Tax Season Follow established tax-season procedures and priorities Assist with increased client communication and document management Help manage the increased volume of administrative work during the firm's busiest time of year Work approximately 30 hours per week from February 1 through April 15, with additional hours available or required as needed Why Join Us?
