Job Description
Description We are looking for an Administrative Assistant to join a team on a Long-term Contract position. This role supports daily office operations through strong organization, communication, and follow-through while helping staff, leadership, and prospective program participants stay informed and on schedule. The ideal candidate is comfortable managing administrative priorities, preparing documents and reports, and contributing to a well-run office environment.
Responsibilities:
- Review and track inquiries and applications from prospective participants, ensuring records remain organized and up to date.
- Coordinate calendars, schedule meetings, and maintain appointment details to support efficient daily operations.
- Prepare forms, spreadsheets, reports, and other business documents using office and cloud-based tools.
- Provide administrative support to supervisors, employees, and senior leaders by responding to requests and handling routine office needs.
- Assist the HR team with onboarding activities and related administrative tasks for new hires.
- Maintain filing systems and office records so information can be accessed accurately and efficiently.
- Order office materials, compare vendor options, and support billing or finance-related administrative requests as needed.
- Conduct online research and compile findings to assist with internal projects, planning, or operational needs.
- Help organize recurring reports and provide occasional support for special events or department initiatives. Requirements
- Experience providing administrative support in an office setting.
- Ability to manage inbound calls, routine correspondence, and front-office or receptionist-related tasks.
- Strong data entry skills with a high level of accuracy and attention to detail.
- Proficiency with standard office software, including word processing, spreadsheets, and shared document platforms.
- Excellent organizational skills with the ability to balance multiple assignments and deadlines.
- Strong written and verbal communication skills when interacting with staff, leadership, and external contacts.
- Ability to work independently, maintain confidentiality, and adapt to changing administrative priorities.
