Job Description

Job Summary We are seeking a dynamic and organized Office Assistant to join our team! In this energetic role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your proactive approach and excellent communication skills will support administrative functions, manage front desk responsibilities, and assist with various clerical tasks. This position offers an exciting opportunity for someone eager to contribute to a vibrant work environment while honing their office management skills. All work performed is paid, recognizing the importance of your contributions from day one. Duties Greet visitors and clients warmly, providing exceptional customer service and maintaining professional phone etiquette on multi-line phone systems Manage front desk operations, including answering calls, directing inquiries, and handling incoming correspondence, collections, working on DOE contracts and other documentation, assisting in payroll, managing student enrollment Perform data entry using spreadsheets and productivity software such as Microsoft Office, ensuring accuracy and timeliness Assist with office management tasks like organizing supplies, maintaining filing systems, and supporting document proofreading Utilize computer skills to prepare Word documents, reports, and presentations while ensuring high standards of organization and professionalism Support team members with administrative tasks such as scheduling appointments, managing calendars, and coordinating meetings Handle clerical duties including copying, scanning, faxing, and maintaining office equipment Qualifications Proven experience in an office environment with strong clerical skills and familiarity with office management practices Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with spreadsheets and data entry Technical proficiency with computer literacy across various productivity software applications Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting Strong communication skills—both verbal and written—with a focus on customer support and client communication Bilingual abilities are highly desirable to serve diverse client needs effectively Previous experience with QuickBooks or similar accounting software is a plus but not required Personal assistant or front desk experience will be considered an asset Join us to become an essential part of a dedicated team that values your organizational talent and enthusiasm! Pay:
$19.00 - $20.00 per hour Expected hours: 20.0 per week
