Stoves plus LLC Job Overview We are seeking a dynamic and highly organized Secretary to join our team! This vital role is the heartbeat of our office operations, ensuring smooth communication, efficient administrative processes, and exceptional customer support. As a Secretary, you will be the first point of contact for visitors and callers, manage scheduling and correspondence, and support various office functions with enthusiasm and professionalism. Your proactive attitude and attention to detail will help foster a productive and welcoming environment for colleagues and clients alike. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with friendly professionalism Operate multi-line phone systems, answer inquiries promptly, and transfer calls efficiently using excellent phone etiquette Maintain organized filing systems. Handle data entry tasks accurately, including updating records, processing invoices, and managing bookkeeping activities using QuickBooks or similar software Support calendar management by scheduling appointments, meetings, and reminders for staff members Assist with office management duties such as ordering supplies, coordinating maintenance, and overseeing general administrative tasks Proofread correspondence, reports, and documents to ensure clarity and accuracy while supporting overall office communication standards Qualifications Proven experience in an administrative or clerical role within an office environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting Demonstrated customer service skills with a professional demeanor and strong phone etiquette Experience with office management systems such as QuickBooks or similar bookkeeping software is preferred Previous experience as a medical or dental receptionist or personal assistant is a plus Capable of typing accurately at a steady pace while maintaining attention to detail Join us in delivering exceptional support that keeps our office running seamlessly!
