JOB DESCRIPTION FOR SECRETARY/OFFICE COORDINATOR

The Secretary/Office Coordinator is responsible for the complete operation of the church office and reports directly to the Pastor. This individual is responsible for seeing that the office is occupied from 8:00 a.m. to 12:30 p.m. (flexible: may be 8:30-1:00 or 9:00-1:30) Monday through Thursday. The position is an 18 hour/week part-time position.

Qualifications required:

Excellent communication skills, ability to work with both staff and volunteers. Attention to detail and accuracy in publications and dedications. Computer Proficiency, including: MS Office, Publisher, Facebook, mailchimp, Canva, and Weebly hosted website. Must be open to learning and using church management software (Breeze) Duties include:

Receptionist for the Church including but not limited to: greeting individuals, attending to their needs, receiving and attending to phone calls; channel information, calls and requests to proper person
Maintain the church website, Facebook page, e-newsletter, electronic sign and other electronic correspondence as needed.
Oversee the function and flow of office work, including purchase of office supplies, and contract maintenance of office equipment.
Prepare all church weekly, monthly and special bulletins, newsletters and correspondence, prepare weekly slideshow for worship streaming.
Maintain database of members, updating as necessary including: births, deaths, marriage, new members., issuing envelopes, recording dedications and transfers.
Make available and help read cemetery records and old family history information in the permanent record books.
General correspondence and filing/distribution of minutes of Congregational, Council and Committee meetings. Organize all reports for the Annual Congregational Meeting and assemble the packet.
Maintain Church calendar along with vacation schedules for staff.
Attend to needs of non-Salem groups when using the building during office hours.
Other duties as assigned by the Pastor and Council President.
