Job Description

The Senior Administrative Assistant provides high-level administrative support to the Chief Advancement Officer (CAO), while serving as an essential partner for the Advancement Office. This role provides staff support to the advancement office and its programs, and plays a critical role in building a culture of philanthropy at Emma Willard School. This position also serves a key point of contact with alumnae, parents, and all supporters involved in the wide array of advancement programs. This position requires excellent organizational skills, the ability to manage complex schedules, board relations and special advancement initiatives. Key Areas of Responsibility Manage the CAO's calendar, balancing donor visits, internal meetings, travel, and campus events. Arrange detailed domestic and international travel itineraries, accommodations, meeting agendas, and expense reports for the CAO. Serve as the first point of contact for the CAO's office, handling inquiries with professionalism and confidentiality. Coordinate logistics for Board of Trustees Advancement Committee meetings with CAO, including materials distribution, document preparation, and official minute-taking. Coordinate donor correspondence for CAO including acknowledgments, and other communications. In partnership with donor relations, prepare briefing materials, donor profiles, presentation decks for donor meetings and cultivation visits. Support Alumnae Relations to execute the regional events/reunion including but not limited to printing, mailing invitations, nametags, taking RSVPs and other work as needed. Support efforts of Annual giving, including: proofreading, mail-merging, printing and mailing letters and appeals for giving societies and reunion. Oversee day-to-day administrative workflow for the Advancement Office, managing supplies, invoices, vendor payments, and budget tracking support for the CAO. Maintain confidentiality and sensitivity surrounding high-level donor data, financial contributions, and other sensitive information. To perform other duties as assigned by the Chief Advancement Officer. Minimum Requirements / Qualifications / Competencies Associates degree or at least three years administrative experience. Finely tuned organizational skills. The ability to manage multiple priorities and deadlines. Ability to work effectively with a range of constituencies, including alumnae, students, parents, faculty and staff. Dedication to a high level of confidentiality.
Excellent computer skills including:
Word, Excel, Google and Word products. Preferred, some experience with database management such as Raisers Edge. Excellent proof reading ability. Ability to work independently. Appreciation for single-sex education for girls and a willingness to participate in the life of a boarding school community. Salary $23.00 - $30.75 based on education and experience.
