Job Description

Operations Administrative Assistant Location:
Buffalo, NY 14206 Join a growing food manufacturing company specializing in the production and distribution of baked goods. We are seeking a detail-oriented, proactive Operations Administrative Assistant to support daily operations, HR functions, production documentation, and cross-departmental communication. Key Responsibilities Operations & Administrative Support Serve as a liaison between maintenance, production, and other departments to ensure smooth communication and coordination. Navigate ERP systems to support production and maintenance teams. Assist with daily operations planning, inventory control, shipping requirements, and supply chain activities. Provide administrative support to keep operations running efficiently. Human Resources Support Assist with payroll preparation. Support hiring efforts, including applicant review, interview coordination, and onboarding activities. Prepare performance evaluations and disciplinary documentation. Maintain weekly employee schedules. Update employee training records and prepare training materials and packets. Product Development & Documentation Assist with label creation and implementation. Prepare and maintain production and operational documentation, including: Bake sheets Pallet sheets Case checks Lot codes Packing lists Coordinate meeting materials and training logistics. Compliance & Contractor Management Maintain contractor records and documentation. Request and track Certificates of Insurance (COIs). Responsibilities may evolve based on business needs. Qualifications High School Diploma required. Previous administrative experience in a manufacturing, production, operations, or HR environment preferred. Experience with applicant screening or hiring support is highly desirable. Intermediate to advanced Excel skills required. Strong proficiency in Microsoft Office, particularly Excel and Outlook. SQL and PLEX experience are a plus. Excellent organizational skills and attention to detail. Strong communication and interpersonal abilities. Ability to prioritize multiple tasks in a fast-paced environment. Self-starter who works well independently and as part of a team.
