Full Job Description Personal Assistant Overview:
StaffBuffalo is working with a professional, philanthropic organization to hire a full-time Personal Assistant supporting both a highly active executive and the organization's senior leadership. This is a hands-on, service-oriented opportunity for someone who enjoys taking ownership of details, solving problems independently, and moving comfortably between personal support and professional administrative responsibilities. More than half of the role centers on direct support to the executive, including travel coordination, scheduling, reservations, transportation logistics, errands, research, and other day-to-day requests. The remaining responsibilities support the organization through calendar management, meeting and event logistics, office administration, supplies, shipping, receipts, reimbursements, and other administrative needs. This position is best suited for a highly organized, resourceful, and discreet professional who can manage changing priorities with strong follow-through and sound judgment. The successful candidate will be comfortable handling a wide variety of requests, working independently, and ensuring details are managed from start to finish. This full-time opportunity offers a salary range of $55,000-$65,000 and is primarily an in-person position in the Buffalo area. The team operates in a serious, highly professional environment and is looking for someone who can provide dependable, high-touch support while maintaining professionalism and confidentiality.
Responsibilities:
Coordinate private and commercial travel, hotel accommodations, transportation, itineraries, reservations, and other trip-related logistics. Manage personal and professional calendars, appointments, meetings, reservations, and other scheduling needs. Handle day-to-day support requests, errands, transportation coordination, packages, and other logistical needs. Research and source products, services, vendors, travel options, and other requested items, independently identifying practical solutions and following tasks through to completion. Maintain a high level of confidentiality and discretion when handling sensitive personal, business, and organizational information. Provide calendar and administrative support to senior organizational leadership and coordinate logistics for gatherings. Support routine office administration, including incoming mail and calls, overnight packages, office supplies, credit card receipts and statement reconciliation, expense reimbursements, postage, shipping, and calendar coordination.
Qualifications:
Exceptional organization, follow-through, time-management skills, and attention to detail while managing multiple priorities and changing needs. Resourceful, proactive, and comfortable independently determining how to accomplish unfamiliar requests with limited direction. Strong verbal and written communication skills and a professional manner when interacting with a wide range of individuals. High degree of discretion, reliability, confidentiality, and sound judgment. Flexible and adaptable, with a genuine willingness to perform hands-on personal support as well as professional administrative work, including occasional time-sensitive needs outside normal business hours. Proficiency with email, calendars, Microsoft Office, and common online scheduling, travel, and productivity tools; prior experience in personal assistance, executive support, concierge services, travel/event coordination, or another high-touch service-oriented role is preferred. Valid driver's license and reliable transportation.
Benefits:
$55,000-$65,000 annual salary. Full-time position with regular working hours established based on the needs of the executive and organization. Additional hours worked will be compensated in accordance with applicable overtime requirements. #
