CCA Program/ Intensive Probation Administrative Assistant This position assists department staff with maintaining accurate records, scheduling appointments, preparing documents, communicating with clients and agencies, and ensuring the efficient operation of the office. The position requires professionalism, confidentiality, attention to detail, and the ability to work effectively with individuals from diverse backgrounds. Strong understanding of Municipal Court and Probation procedures is preferred. Part time- 24 hours per week. -no benefits available Preferably Monday, Tuesday, Friday 8am-4pm with hour lunch Essential Duties and Responsibilities Provide administrative and clerical support to department staff. Answer telephone calls, respond to inquiries, and provide information regarding department procedures and services. Greet and assist clients, visitors, attorneys, law enforcement personnel, and other agencies in a professional manner. Schedule appointments, meetings, hearings, and other department activities. Maintain accurate and confidential probation records, files, databases, and case documentation. Enter, update, and retrieve information from computerized case-management systems. Prepare correspondence, reports, forms, notices, spreadsheets, and other official documents. Process and distribute incoming and outgoing mail, forms, court documents, and other correspondence. Assist with preparing case files and documentation for court hearings and probation-related proceedings. Track deadlines, appointments, reporting requirements, and other case-related administrative information. Make copies, scan documents, maintain filing systems, and perform general office duties. Communicate with courts, attorneys, treatment providers, law enforcement agencies, social service agencies, and other organizations as authorized. Maintain strict confidentiality of sensitive and protected information. Follow department policies, court procedures, applicable laws, and records-management requirements. Assist with special projects and other duties as assigned. Required Qualifications High school diploma or equivalent; additional education in criminal justice or a related field is preferred. Previous administrative, clerical, customer service, court, legal, or government experience preferred. Proficiency with Microsoft Office or similar office software. Strong organizational and time-management skills. Excellent written and verbal communication skills. Ability to maintain accurate records and work with confidential information. Ability to interact professionally with probationers, court personnel, attorneys, law enforcement, and members of the public. Ability to prioritize multiple assignments and meet deadlines with minimal supervision. Knowledge, Skills, and Abilities Knowledge of Municipal Court procedures and an understanding of misdemeanor criminal and traffic cases is preferred. Ability to maintain detailed and accurate records. Strong attention to detail and data-entry skills. Ability to handle confidential and sensitive information appropriately. Ability to remain professional and composed when dealing with difficult or stressful situations. Ability to establish effective working relationships with coworkers, clients, and outside agencies. Ability to follow written and verbal instructions and departmental policies. Strong problem-solving and organizational abilities.
