BEVERAGE ADMINISTRATIVE ASSISTANT
Hyde Park Restaurant Group - Corporate Office, Beverage Department Hyde Park Restaurant Group is seeking an outgoing, detail-driven Beverage Administrative Assistant with strong wine and spirits knowledge to support our Corporate Beverage Director. This role keeps our beverage program accurate and moving across all 14 of our restaurants: wine and spirits menus, weekly beverage changes, pricing, data entry, and daily communication with our stores and distributor partners. The ideal candidate can use Adobe InDesign and Excel.

POSITION OVERVIEW
Based at our Corporate Headquarters in Beachwood, Ohio, and reporting directly to the Corporate Beverage Director, you will be the day-to-day link between the beverage department and our general managers, bar teams, and distributor partners in five states. Every wine list, spirits menu, and beverage price that reaches our guests passes through this role, so product knowledge and precision matter as much as organization. This is a full-time, salaried, in-person position, Monday through Friday 830am-530pm
KEY RESPONSIBILITIES
Wine & Spirits Menus (Adobe InDesign): Maintain the wine, spirits, cocktail, bar, and dessert menus for all 14 restaurants, working primarily in InDesign. Make weekly additions, removals, and vintage and price changes; keep fonts, spacing, and layouts to company standards; export print-ready PDFs to each store's menu folder; and let stores know when menus are ready to print.
Weekly Beverage Changes & POS Updates:
Process each store's weekly beverage change form and update the menus and the POS system to match add and remove items, set up buttons, and confirm POS prices match the printed menu. Track every open item until each store is complete.
Product Accuracy:
Proof every entry for producer, wine name, grape, appellation or AVA, vintage, bottle size, and price before it reaches a store. Know the product well enough to catch look-alikes: a distillery's Rye versus its Bourbon, a Brut versus a Rosé Champagne, a new vintage that needs a new price.
Pricing, Inventory & Data Entry:
Maintain beverage pricing and inventory spreadsheets and own the data entry behind our inventory process, including period-end transfers in Restaurant365 (R365). Request current costs when vintages change, file period-end recaps and reports, and research past periods to answer variance questions.
Distributor & Supplier Coordination:
Work directly with distributor and supplier reps: request credits when invoices don't match agreed pricing, source display bottles for staff training, and help stores with ordering-portal access.
Beverage Training Content:
Write and design weekly wine and spirits education pieces (such as reading a Burgundy label or recognizing a corked wine), sales-driven wine feature cards, and staff Wine Bible pages for the Director's approval. Keep training cards and store training folders current with each menu change.
Store Communication:
Serve as the beverage department's first point of contact for general managers, bar managers, and distributor partners by phone and email. Send store-facing updates on the Director's behalf, compile and send the company-wide Weekly Focus training packet and prepare beverage items for the store conference call.
Supply Orders & Logistics:
Process store beverage supply orders (bar tools, Coravin supplies, specialty ingredients); order, pull, box, ship or deliver product; pick up period-end orders; and track deliveries.
Beverage Compliance Audits:
Conduct remote camera audits of each store's beverage receiving and storage against our Beverage Manual standards, record findings in the audit tracker, and flag issues to the Director.
Contests, Projects & Administration:
Track store wine sales contests; support menu transitions and inventory reduction projects; schedule meetings and handle filing, scanning, and printing; and perform other duties as assigned.
QUALIFICATIONS & SKILLS
Wine & Spirits Knowledge (Required): Solid working knowledge of major wine regions, grapes, producers, appellations and AVAs, vintages, and label terms, and spirit categories and expressions (Bourbon, Rye, Scotch, Tequila, Cognac). Experience as a sommelier, wine-focused server or bartender, or in wine retail or distribution is ideal. Court of Master Sommeliers, WSET Level 2+, or CSW certification preferred. Adobe InDesign (Required): Hands-on experience editing multi-page layouts such as menus, catalogs, or brochures, including tables, paragraph and character styles, and print-ready PDF export.

Data Entry & Accuracy:
Fast, accurate data entry and the habit of proofreading your own work before it goes out. A wrong vintage or price ends up in front of a guest, so accuracy is non-negotiable.
Software & Technical Proficiency:
Advanced Microsoft Excel (sorting, filtering, lookups, large price and inventory files), plus Word, PowerPoint, and Outlook, including calendars. Restaurant365 (R365) and POS experience is a strong plus. Comfortable in shared network drives and OneDrive shared documents.
Outgoing & Personable:
Upbeat, energetic, and confident on the phone, with clear, polished writing. Builds easy working relationships with general managers, bar teams, chefs, and distributor reps, and follows up until the job is done.
Organization & Reliability:
Punctual and dependable. Handles weekly deadlines and competing requests from every store without letting anything slip, takes direction well, works independently, and asks rather than guesses.
Experience:
Restaurant, hospitality, or beverage-industry background strongly preferred. Administrative or office experience is a plus.
Discretion & Professionalism:
Handles supplier pricing, product costs, and store performance information with complete confidentiality.
Additional Requirements:
Must be 21 or older, with a valid driver's license and reliable transportation for local store runs and product pickups, and able to lift cases of wine and spirits (up to 40 lbs.).
Pay:
$45,000.00 - $55,000.00 per year
