Job Description

Overview:
We are seeking a highly organized and dependable Office Coordinator to support daily operations in our busy construction office. The ideal candidate is detail-oriented, professional, and able to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
  • Answer incoming calls, respond to emails, and provide general office support.
  • Complete monthly AIA billings and hours reporting through contractor portals.
  • Fill out new worksite registrations and badging for employees through contractor portals.
  • Review weekly payroll reports and record payroll into Quick Books.
  • Handle new hire process which includes employee set up in dispatching and payroll systems, benefits enrollment, union enrollment, etc.
  • Enter and update data in spreadsheets, accounting systems, or project management software.
  • Acounting administration activities such as monthly account reconciliations and managing company credit card accounts.
  • Communicate with project managers, subcontractors, and customers regarding project specific paperwork, certificates of insurance, and safety questionnaires.
  • Compile and send out monthly union reports and checks.
  • City Registrations and license renewals as needed.
  • BWC reporting, spreadsheet updates, and annual True-up Report.
  • Perform filing, scanning, copying, and other administrative tasks as assigned.
Qualifications:
  • Associate's degree in business administration, human resources, or related field required, bachelor's degree preferred.
  • Minimum of two years of office administrative experience.
  • Construction, contractor, or service industry experience preferred.
  • Ability to maintain confidentiality when handling sensitive information.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office, QuickBooks, or construction/project management software is a plus.
  • Professional attitude and reliable attendance.
