Job Description
Job Overview We are seeking an administrative assistant that has a cheerful pleasant demeanor, very organized, and pays attention to detail. The position generally is responsible performing front desk duties, data entry, maintaining financial records, performing bookeeping duties through Quickbooks and other accounting systems for a government office. The position reports directly to the Department Director and assists and provides support as requested. Duties 1. Provide clerical, bookkeeping and accounting functions that support the efficiency, effectiveness and professionalism of the District including, but not limited to filing, word processing, data entry and mail distribution. 2. Prepare vouchers, invoices and other documents for review and approval from the District Administrator/Engineer and/or Board of Supervisors. 3. Organize and maintain all documentation needed for auditing purposes and contract compliance. 4. Organize and maintain employment related records; distribute employment related information to the County as required. 5. Schedule meetings, events and appointments as required; assist staff as directed. 6. Plan, coordinate and organize meetings, materials, and advertising of District activities as directed including obtaining donations for various events. 7. Complete and maintain accurate and up-to-date daily/weekly/monthly/quarterly records and reports. 8. Order and maintain an accurate inventory of office supplies, informational literature and items offered for sale by the District; maintain an accurate and up-to-date inventory of all District equipment. 9. Prepare correspondence, reports and other complex documents as directed. 10. Attend and record minutes/notes for various meetings including the monthly Board meeting. 11. Other duties and responsibilities as directed by the District Administrator/Engineer. Requirements 1. Actively promote conservation initiatives and the mission of Geauga County Soil and Water Conservation District. 2. Participate in the team process and seek opportunities for process improvement in the District. 3. Maintain a safe driving record and current valid Ohio driver's license. 4. Knowledge and understanding of governing rules, working agreements, regulations and strategic plans specific to Geauga SWCD, ODNR-Division of Soil and Water Conservation, USDA-Natural Resources Conservation Service and other conservation organizations. 5. Attend meetings during and after regular business hours; attend meetings within and outside of the District as requested. 6. Pursue continuous education and professional development opportunities as identified and directed. 7. Provide assistance to individuals/public as requested without regard to race, religion, sex or national origin. Qualifications To perform this job successfully an individual must be able to perform each essential duty satisfactorily. Education/Experience:
Associates degree (A.A.) in business, office administration or accounting related field; two (2) years related work experience; or equivalent combination of education and experience.Language Ability:
Ability to read, analyze and interpret documents such as safety rules, operating instructions and procedure manuals; ability to write routine reports and correspondence; ability to speak effectively before groups of customers or employees of the organization.Math Ability:
Ability to calculate figures and amounts such as discounts, interest, and percentage; ability to apply accounting principles and concepts.Reasoning Ability:
Ability to apply common sense understanding to carry out instructions furnished in written, verbal or diagram form; ability to deal with problems involving several concrete variables in standardized situations.Computer Skills:
Knowledge and proficiency in using MS Office products (Word, Excel, PowerPoint, Publisher and Access) and Quickbooks Online.Work Environment:
