Job Summary:
7.5 hours/day, 5 days/week, 215 days/year 7:30 a.m. - 4:00 p.m.
Description:
Under the supervision of the Building Principal, this candidate will have responsibilities which include providing the major administrative secretarial support to the principal and efficient operation of the main office.
Essential Job Functions:
Serves as a secretary who maintains confidentiality, and the personal assistant to one or more administrators. Performs duties that entail a high degree of accountability, confidentiality, and good judgment. Takes the initiative to perform routine tasks and solve problems independently. Follows office protocols. Monitors record keeping procedures to ensure a consistent standard for the accurate and timely collection, verification, recording, and retention of program data. Greets/assists office visitors; Answers/directs calls; Takes messages; Manages calls efficiently. Prepares computer files, including letters, memos, notes, E-mails, spreadsheets, slides, etc. Responds to inquiries. Maintains calendars/schedules meetings as directed. Processes incoming, outgoing and interoffice mail and shipments. Verifies contents with packing lists/purchase orders. Organizes/stores supplies and equipment. Maintains an inventory control system. Reorders supplies as needed. Documents/maintains asset inventory records. Tags fixed assets as directed. Helps administrators manage board-approved budgets. Contacts vendors as directed. Prepares requisitions for approval. Keeps administrators aware of work progress and pending deadlines. Assists with special projects/committee activities as directed. Performs other duties as assigned.
Minimum Qualifications:
Demonstrated excellent interpersonal and organizational skills. The ability to speak and comprehend sufficiently as well as give and receive information via telephone, face-to-face, and/or through written communication. High School Diploma. An acceptable score on a pre-employment skill test may be required. Advanced office administration skills substantiated by training and/or relevant work experience. Ability to lift/move supplies/equipment weighing 15 pounds. Complies with drug-free workplace rules, board policies and administrative guidelines/procedures. Displays flexibility, reliability, self-discipline and a willingness to take on challenging tasks. Reacts productively to interruptions/emerging priorities. Demonstrates the ability to implement administrative principles, practices, and procedures. Maintains a record free of criminal violations that would prohibit public school employment. Meets all mandated health screening requirements. Demonstrates proficiency using equipment and software applications associated with the position. Knowledge of and demonstrated skill in computers (i.e. Google Suite, Microsoft Word, Excel, PowerPoint)
