Monday - Friday 9 am to 4:30 pm; may require overtime as necessary
DEPARTMENT
Busch Boulevard PURPOSE:
The Administrative Assistant's primary responsibility is to coordinate and oversee administrative duties in our facility, and ensure that the facility operates efficiently and smoothly. This position is responsible for greeting visitors, managing office space and marketing supplies, overseeing custodial/ maintenance operations, and acts as a central point and clearing house for communication functions.

EDUCATION REQUIRED
High School diploma or equivalent and 2‐5 years' experience in an administrative/office management role.
POSITION PERFORMANCE EXPECTATIONS
Competencies (Knowledge, Skills, and Experience): Ability to operate a multi‐line telephone system, and other standard office equipment.
  • Must possess a pleasant and professional personality and telephone voice.
  • Ability to organize and prioritize assignments, multi task with accurate focus and refocus in a fast paced environment.
  • Proficient in computer programs, but not limited to, Microsoft Word, Excel, Outlook, and office specific programs.
  • Ability to deliver excellent customer service, externally and internally.
  • Ability to define and solve problems, collect data, accurately enter data; establish facts, draw valid conclusions using judgment, and analytical skills.
  • Ability to communicate effectively with internal and external customers, both orally and writing.
  • Ability to provide exemplary customer service including the ability to work effectively with customers who may be upset, distraught, irate, emotionally or mentally or otherwise unable to function within a reasonable range of constructive behaviors.
  • Ability to work independently, under pressure, and to set and achieve goals.
  • Knowledge of and the ability to adhere to applicable company and departmental policies and procedures.

Quality & Accountability
  • Monitors staff movements in and out of the organization.
  • Provides general administrative and clerical support.
  • Receives and sorts mail and deliveries.
  • Acts as a central organizer for walkie‐talkie communications.
  • Orders, maintains and distributes supplies, marketing materials, etc.
  • Manages inventory and issues Chromebooks/laptops to new hires and/or replacements for staff.
  • Determine matters of top priority and handle them accordingly.
  • Participates in staff development, education and training as directed.
  • Attends various training sessions, video conferences, and workshops.
  • Works overtime and outside of typical work schedule/business hours as required.
  • Performs any other reasonable duties as required. Communication
  • Effectively communicates with vendors including grounds keeping, cleaning, maintenance, etc.
  • Models professional behavior and decorum such as treat staff and clients professionally; discuss clients in a professional manner using professional language.
  • Initiates communication with supervisor when needed. Job Knowledge & Problem Solving
  • Applies critical thinking and uses sound judgment effectively to perform job tasks.
  • Monitors and delegates building compliance.
  • Schedules vendors for routine and preventative maintenance.
  • Performs data entry.
  • Create and manage spreadsheets.
  • Prepare reports.
  • Maintains office procedures; provides input for new processes.
  • Greets persons entering organization.
  • Answers telephone, screen and direct calls.
  • Directs persons to correct destination.
  • Manages individual parent communication as it pertains to paperwork completion (Statements of Cost, enrollment forms, etc.)
  • May assist with intake process for new clients. Compliance
  • Maintains client confidentiality of protected information during employment and post‐employment.
  • Completes all documentation following all requirements, deadlines and protocols.
  • Reads and adheres to all company and departmental policies and procedures.
  • Follows state, federal, and local law, and all other policies and procedures that do not fall under the above responsibilities. Teamwork & Cooperation
  • Receives and works towards goals developed in collaboration with supervisor.
  • Demonstrates reliable and predictable attendance and punctuality; does not negatively impact the client, department or co‐workers.

DESCRIPTION PHYSICAL EFFORT AND WORK ENVIRONMENT
Physical Requirements:
The physical requirements of the position are identified as moderate physical activity which may require the lifting of up to twenty (20) pounds occasionally and fifteen (15) pounds frequently.
Physical Activity:
Individual performs the following physical activities: manual dexterity, climbing, balancing, stooping, kneeling, crouching, reaching, lifting, grasping, feeling, talking, hearing and moving around.
Visual Activity:
Individual performs work where objects being viewed and interactions with others are both close to the eyes and beyond arm's reach.
