GED Full Job Description Position Summary :
The Administrative Assistant is an integral part of the staff of the Wellness Center team. The Administrative Assistant provides clerical support to both Counseling and Health Services and assists with the coordination of wellness center programs and events.
Essential Job Duties & Responsibilities :
Greet clients and visitors, respond to general inquiries, and provide referrals to appropriate resources. Receive, screen, direct and make telephone calls. Take and relay messages. Serves as a primary contact for various Wellness Center programs and events Coordinate confidential filing system and retrieve, return, and organize files. Assist with Wellness Programs and other events coordinated by the Counseling or Health Services Offices. Prepare fliers and other forms of advertisement for said events. Encourage students to participate in these events. Provide clerical support for end of month/semester reports and presentations done by the wellness staff. Prepare a variety of documents such as correspondence, manuscripts, proposals, tables, forms, and lists. Format documents according to specifications using standard computer applications. Verifies for completeness and proofreads for accuracy, grammar and spelling. Composes routine correspondence. Performs data entry to update records on computerized information systems. Produces lists and reports using appropriate computer applications and programs. Keeps up to date with and implements standard computer applications. Maintains wellness staff's schedule in accordance to their independent needs which may include setting appointments and organizing schedules according to established priorities. Works within clearly defined guidelines for filing and handling confidential records. Consults supervisor on non-routine issues. General care of the Wellness Center environment including regular care of office plants, general restocking of information pamphlets, and organizing office décor in an aesthetic manner.
Special Challenges and Environment:
Perform in a wellness setting offering health and counseling services. Must maintain confidentiality according to established guidelines. Occasional exposure to ill patients. Occasional pressure to meet deadlines and scheduling requirements. Will assist in supervision of Work Study Student(s) and student interns. Perform in a setting in which multiple tasks and projects are ongoing.
Qualifications :
High School diploma or the equivalent, with some formal clerical/computer training. At least two years' experience in a professional work environment, with experience in a health/wellness setting, desirable. Experience with programmatic planning and coordination a plus. Must demonstrate good written and verbal communication skills and interpersonal relations, as well as competence in Microsoft Office (Outlook, Excel, Word, and PowerPoint etc.), spreadsheets and databases.

Strong interpersonal skills combined with a genuine concern for people, a good memory for names and faces and the ability to listen and to relate with people of all ages and walks of life are required for this position.
