We are currently seeking an experienced Registered Client Associate. This full-time position provides client service support to an established Financial Advisor team. As a Registered Client Associate, your principal responsibilities will include, but not be limited to the following: Implement new client onboarding processes, coordinate forms and paperwork between client and custodian. Process and follow up on client documentation for proper maintenance of accounts. Interact daily on the phone and in person with prospective and existing clients including handling basic inquiries. Perform administrative duties that support the Financial Advisors in daily business practices, including but not limited to, processing annuities, life insurance policies, updating licensing, and calendar maintenance. Assist Financial Advisors with order entry and trading. Process money movements such as retirement plan rollovers, account additions, account distributions, automatic bank transfers, wire transfers, etc. Work with clients to update their account information i.e., address changes, beneficiary changes, bank account changes, etc. Responsible for miscellaneous questions and administrative items that may arise including the ability to discuss the markets. Day-to-day office operational functions (answering phones, filing, etc.) and general office support. Assist Financial Advisors in meeting preparation i.e., performance reports, position pages, prospect materials, etc. Develop and maintain strong support resources for complex problem solving. Collaborate with Advisors, Client Associate team, and receptionists to enhance the client experience. File and retrieve electronic and hard copies of client/corporate documents. Perform other duties and responsibilities as assigned. Executive Assistant Responsibilities - in addition to standard Client Associate duties, you will serve in a dual capacity as an Executive Assistant. This includes providing support with personal and organizational tasks such as: Coordinate and manage rental property logistics. Organize and book domestic and international travel. Assist with event preparation, including procuring items and onsite support. Handle ad hoc personal requests and miscellaneous errands as needed. Key Traits of a Successful Client Service Associate Exceptional attention to detail and strong organizational discipline A proactive self‑starter who consistently looks for ways to enhance processes, strengthen team operations, and improve the client experience Clear, confident, and empathetic communication with clients, advisors, and internal staff Strong time‑management skills with the ability to prioritize effectively in a fast‑paced environment A polished, professional, and friendly phone presence Ability to manage multiple tasks simultaneously while maintaining accuracy and composure Commitment to adhering to all rules, regulations, and compliance requirements set by the advisor and broker‑dealer A positive, growth‑oriented mindset with a genuine desire to learn, develop, and contribute long‑term Experience & Industry Designations Licensed Candidates (Series 7 required; Series 66 or 65 & 63 preferred): Minimum of 2-3 years of experience excelling in client service support within the financial services industry.
