The Role The Front Office Medical Assistant is the "face" of Charak Center to our clients, families, visitors, and guests. This position is about more than answering phones and completing administrative tasks—it is about creating a welcoming, professional, and positive experience for every person who walks through our doors. Front office coverage:
8:45 a.m. - 5:45 p.m. Occasional evening hours may be required for appointments or meetings. Overtime must receive prior approval from the employee's supervisor. Essential Duties and ResponsibilitiesFront Office & Customer Service Greet and welcome clients, families, and visitors in a professional, courteous, and compassionate manner. Serve as a positive first point of contact and represent Charak Center professionally. Determine the purpose of each visit and direct individuals appropriately. Answer incoming telephone calls, schedule appointments, relay messages, and provide excellent customer service. Assist clients with routine questions and administrative needs. Maintain a clean, organized, professional, and welcoming front office. Administrative & Billing Responsibilities Collect patient payments and accurately post charges. Utilize the electronic health record (EHR/EMR) and billing systems efficiently and accurately. Verify insurance eligibility and benefits. Obtain prior authorizations for medications and clinical services. Process prescription refill requests in a timely manner. Upload laboratory reports, OARRS reports, and other clinical documents into the electronic medical record promptly. Maintain accurate documentation and records. Clinical Support Responsibilities Perform clinical support duties within applicable training, competency, and scope of practice, including: Obtain and document patient vital signs. Perform breathalyzer testing. Perform electrocardiograms (EKGs). Administer injections in accordance with applicable requirements, training, and agency protocols. Collect and monitor urine drug screen specimens. Manage and document specimens according to established protocols. Perform laboratory specimen collection and submit samples according to agency procedures. Monitor laboratory results and ensure they are appropriately communicated, documented, and filed. Perform other delegated clinical procedures within the employee's scope of practice. Compliance & Professional Responsibilities Maintain strict confidentiality and comply with HIPAA requirements. Follow all Charak Center policies and procedures. Comply with Joint Commission standards and applicable regulations. Maintain professional boundaries with clients and coworkers. Participate in required meetings, training, and other organizational activities. Perform other administrative and clinical duties as assigned.
