Job Description

Position Summary We are seeking a highly organized, dependable, and customer-focused Service Secretary to join our Subaru Service Department. This full-time position is the first point of contact for many of our customers and plays a critical role in delivering the exceptional service experience Subaru owners expect. The ideal candidate is professional, energetic, detail-oriented, and thrives in a fast-paced dealership environment. Outstanding attendance, strong communication skills, and a genuine passion for customer service are essential. Responsibilities Answer incoming phone calls promptly, professionally, and courteously. Schedule service appointments efficiently while maximizing shop productivity. Contact customers after service visits to perform quality follow-up calls and ensure complete satisfaction. Provide outstanding customer service during every customer interaction. Assist service advisors with administrative and clerical tasks. Coordinate daily with the Parts and Service Departments to ensure smooth communication and workflow. Greet customers warmly and direct them to the appropriate team members. Maintain accurate customer information and appointment records. Respond to customer questions and concerns with professionalism and urgency. Assist with filing, data entry, and other office duties as needed. Help maintain a clean, organized, and welcoming service reception area. Qualifications Excellent verbal and written communication skills. Strong phone etiquette and customer service experience. Exceptional organizational and multitasking abilities. Ability to work efficiently in a fast-paced environment. Positive attitude with a team-first mindset. Strong computer skills and ability to learn dealership management software. High attention to detail and accuracy. Professional appearance and demeanor. Requirements Impeccable attendance and punctuality are required. Ability to work a full-time schedule. Previous dealership, automotive service, scheduling, receptionist, or customer service experience is preferred but not required. Commitment to delivering \"above and beyond\" customer service every day.
