JOB TITLE
ADMINISTRATIVE
ASSISTANT TO THE SUPERINTENDENT QUALIFICATIONS
1. College degree preferred 2. 3-5 years of experience as an executive assistant preferred 3. Must be able to assume responsibilities and function without supervision. 4. Demonstrates exceptional attention to detail and accuracy in all job duties. 5. Shall exhibit effective communication skills and computer knowledge and be up to date with the latest Google and Microsoft products and services. 6. Shall exhibit ability to work with school personnel, Board of Education members and the school district community in an organized manner. 7. Ability to adhere to an expectation of complete confidentiality.
RESPONSIBILITIES
1. Serve as confidential assistant to the Superintendent, Board of Education, and Treasurer Work with the Superintendent in carrying out the day-to-day operations necessary for the smooth functioning of the school district Maintain Superintendent and Board of Education calendars Book travel, and schedule facilities and equipment as needed Process all mail addressed to the Superintendent and Board of Education Handle telephone calls and refer calls to appropriate staff members Assist parents with concerns Compose correspondence Attend meetings related to the duties of the Superintendent such as extended cabinet, administrative council, and policy committee; compose agendas and minutes Manages official South Western City School District compliance and communications with the South Western City Schools Education Foundation. Prepare and manage Building SSC Waivers for approval by Superintendent and SWEA President Gather and review weekly departmental updates for Superintendent distribution to the Board of Education Prepare and manage budget, process all purchase orders for Superintendent's accounts Review and approve district requisitions for Treasurer's Office Compose, manage and post electronic agenda, materials and minutes for all Board of Education meetings Work with Business Services to assist school personnel with trip requests for Board of Education approval Attend Board of Education meetings as assigned by the Superintendent Serve as liaison between the South Western City School District and designated outside entities Order supplies for office Perform other duties as required and/or assigned by the Superintendent The South Western City School District is an Equal Opportunity Employer and as such does not discriminate on the basis of race, color, national origin, sex (including sexual orientation and transgender identity), disability, age, religion, military status, ancestry, genetic information (collectively, "Protected Classes"), or any other legally protected category in its programs and activities, including employment opportunities.
