In this Transportation Administrative Assistant role, your multitasking magic and positive energy make you the heartbeat of the office. You'll handle the details that keep everyone moving and make it all look effortless. You will play a key role in supporting daily transportation and logistics operations. You'll work closely with drivers, customers, and the operations team to ensure shipments move efficiently and all transportation records remain accurate and compliant. Your day will include managing transportation documentation, auditing driver logs and trip reports, tracking pallets, maintaining DOT files, supporting billing and payroll processes, and assisting with fuel reconciliation. Success in this role requires strong organizational skills, attention to detail, and the ability to thrive in a fast-paced transportation environment. Education Requirements High school diploma or GED required. Associate degree, business coursework, or administrative support training preferred. Experience Requirements Minimum 1 year of customer service experience Minimum 1 year of logistics or transportation industry experience required Experience with Microsoft Office and transportation management systems preferred Job Duties Support daily transportation office operations and administrative functions Assist with accounts payable/receivable, collections, billing, payroll support, and fuel reconciliation Maintain databases, transportation reports, files, and office records Audit driver logs, trip reports, and DOT compliance documentation Track pallets and maintain route books Communicate with drivers regarding equipment requests and daily operational needs Assist with vacation coverage planning and overflow freight coordination Provide customer service support and resolve transportation-related issues Manage office supplies and support general clerical functions Preferred Qualifications Previous experience supporting multiple departments or executive staff is beneficial. Experience with scheduling, document preparation, recordkeeping, and office coordination is preferred. Familiarity with business software, office equipment, and data entry systems is considered an asset. Individuals who demonstrate initiative, adaptability, and professionalism are well positioned for success as a Transportation Administrative Assistant. Physical Capabilities Ability to remain seated or stand for extended periods while performing office tasks. Frequent use of computers, telephones, and other standard office equipment. Occasional lifting or moving of office supplies and materials up to 20 pounds. Ability to communicate effectively with coworkers, customers, and visitors.
